About the University of Melbourne

Established in 1853, the University of Melbourne is one of the world’s leading universities, ranked number one in Australia and consistently among the global top 50. The University has a strong focus on research, learning, teaching and engagement, with over 65,000 students and a wide network of academic and professional staff.

The Problem

Before implementing the OneAdvanced Purchasing Marketplace, the University relied on self-managed catalogues in iProcurement, with compliance to preferred suppliers sitting at just 24%. Outdated supplier information, limited visibility of spend, and inefficient purchasing processes left staff frustrated and compliance difficult to maintain, particularly for chemical purchasing. To address these challenges, the University needed a scalable, mature solution to streamline procurement, improve compliance, and enhance visibility across all spend.

The Solution

The OneAdvanced Purchasing Marketplace has given the University a scalable, future-ready platform that streamlines purchasing, strengthens compliance, and delivers lasting value across procurement. Supplier self-management through the OneAdvanced Supplier Portal ensures up-to-date catalogues with built-in data quality checks, while greater supplier engagement and adoption have simplified operations. With a single catalogue per supplier maintained across multiple universities, rollout was smooth and required minimal training. During COVID-19, the platform proved critical in reducing supply chain disruptions, particularly for laboratory and scientific goods, by enabling stock monitoring and alternative supplier sourcing.

The Result

In March 2019, the University implemented the OneAdvanced Purchasing Marketplace integrated with its Oracle ERP system. Within 12 months, catalogue purchasing compliance rose from 24% to 80%.

The Impact

The University has realised significant benefits since implementation:

  • Compliance: Catalogue purchasing compliance increased from 24% to 80% within a year.
  • Efficiency: Implementation was completed smoothly, with ERP integration delivered ahead of schedule and minimal training required.
  • Cost Savings: Touchless invoicing reduced invoice processing costs from $30 to $10 per invoice, with over 8,000 touchless invoices automatically processed between March and September 2020.
  • Visibility & Control: Enhanced visibility of product and category-level spend enabled more informed, cost-effective purchasing decisions.
  • Flexibility & Growth: Expanded to cover six categories of University spend, with ongoing innovations such as eQuotes and additional modules.
