Bringing clarity to apprenticeship delivery at NCG with ePortfolio and Apprenticeship Management

About NCG

NCG is one of the UK’s largest college groups, operating across seven campuses and supporting more than 30,000 learners nationwide. Its apprenticeship provision spans multiple delivery models, including day release and block release, reflecting the different approaches taken across its colleges. Managing this at scale requires both flexibility at a local level and consistency across the group. 

Ross Radford, Apprenticeship Quality Manager, is responsible for how apprenticeship delivery is governed and tracked across all colleges, including the use of ePortfolio. Having worked with the platform for several years, NCG has more recently introduced Apprenticeship Management, alongside integration with the MIS, to support a more joined‑up approach.

Inconsistent use of systems and fragmented processes made it difficult to maintain a clear, shared view of apprenticeship activity across the organisation.

NCG now works from a single, reliable view of learner progress across all colleges. With data flowing more consistently between systems, the group has reduced manual processes and strengthened its ability to monitor delivery and compliance.

The Challenge

Managing apprenticeship provision across multiple colleges brought a level of complexity that existing processes struggled to support. Although an e‑portfolio system was already in place, its use varied between colleges. This meant that how learners were tracked, how progress was recorded and how compliance was monitored could differ depending on location. 

Different delivery models added further variation. Colleges operated their own approaches, and without a consistent way of bringing that information together, gaining a full view of learner progress required significant effort. Tracking progress reviews and off‑the‑job hours was particularly time‑consuming, often relying on manual entry and multiple sources of information. 

As Ross explains:

“Before we had ePortfolio, it was a minefield in terms of trying to centrally track learner progress reviews and OTJ progress reviews.” 

What made the difference

A central requirement for NCG was flexibility. Any solution needed to accommodate differences between colleges, while still allowing the group to operate with a consistent structure. ePortfolio supports this by allowing each college to configure its own delivery model and assessment approach, without affecting other parts of the organisation. This enables local teams to work in a way that suits their delivery while still contributing to a shared system. 

Alongside this, a number of practical changes reshaped how work is carried out day to day: 

  • progress reviews are completed directly within the platform, creating a single, consistent record 
  • off‑the‑job activity is captured in a structured way, making it easier to monitor and report 
  • learner, attendance and register data flows automatically from the MIS, reducing manual input

The move to conducting progress reviews within the platform has also changed how information is used. Rather than relying on separate records, there is now a single view of learner progress, with reporting that highlights outstanding reviews and off‑the‑job hours across all colleges.

The introduction of the new Apprenticeship Management system has improved accessibility for both staff and learners. Learners can now upload evidence directly from mobile devices, making it easier to capture activity as it happens. 

As Ross notes: 

“The learners love the fact that they can log in on their phones – a quick picture or a video around the construction site.” 

Integration with the MIS has further reduced the need for manual input. Information such as learner details, attendance and registers now flows into ePortfolio automatically, removing duplication and improving consistency. 

What changed

The difference is most visible in how the organisation now operates day to day. 

NCG has a clearer view of apprenticeship activity across all colleges, which supports more consistent oversight at both local and group level. Progress reviews, off‑the‑job hours and learner activity can be reviewed together, making it easier to identify where attention is needed. 

At the same time, the platform continues to support different delivery models without forcing a single approach. Each college can configure its own processes while still working within a shared structure. 

Reducing duplication has also had a noticeable effect. Staff spend less time entering or reconciling data, and more time focusing on delivery and learner support. For learners, the ability to upload evidence directly has simplified the process, particularly in workplace settings. 

As Ross puts it: 

“If it’s not on ePortfolio, it doesn’t exist.”

NCG continues to build on its use of ePortfolio and Apprenticeship Management, rolling out new functionality and working closely with the product team to refine how the system supports delivery.
