Advanced helps Buckinghamshire Care gain greater financial control

Organisation will save up to three days a month with automated KPI reports

Leading social care service provider, Buckinghamshire Care will implement a suite of solutions including a HR and finance system from Advanced to gain better efficiencies, control and visibility of financial information. The organisation will save up to three days a month with the new OpenAccounts finance system, which will go live, with the rest of the product suite in October 2015.

The organisation will also go live with electronic workflow solution eBIS, document management technology (powered by V1), dashboard reporting technology (powered by Intuitive) and Advanced’s Payroll Bureau service, which will all seamlessly integrate into the Finance and HR systems.

Buckinghamshire Care was established in October 2013 and today, it helps and supports thousands of adults both at home, through its reablement, homecare and laundry services, and in the community through day opportunities centres, award winning supported employment schemes and respite services. Its services support adults – including older adults, those with dementia, people with learning disabilities and autism as well as adults with mental health problems.

Cloud HR software will be used to manage the organisation’s training requirements, run recruitment campaigns and maintain accurate staff records. OpenAccounts will enable employees to carry out financial tasks, such as setting up a new supplier.

The automated and tightly integrated systems will enable the organisation to benefit from significant time savings. The new KPI reports, for example, will be automatically generated at the click of a button and easily viewed via dashboard technology.

Matt Abercrombie, Financial and Commercial Director for Buckinghamshire Care, says, “With this new software we will have greater control over financial management and be able to reduce the time taken to extract and analyse data. This in turn will give us enhanced visibility, enabling us to plan strategically for the future, in addition to positioning us well as an efficient, informed organisation.”

The document management technology will also speed up invoice processing. As invoices are emailed or scanned in, the information is automatically extracted and transferred to the finance system and then sent for approval. All invoices can be stored electronically and are available within the system, enabling staff to source documents online.

Buckinghamshire Care will see its payroll function outsourced to Advanced and its Payroll Bureau service.

Advanced will extract information from the employee database in Advanced HR and run the payroll, issue payslips and manage any tax and pension issues. By using the Payroll Bureau, Buckinghamshire Care will have greater visibility of payslips, enabling them to become the first point of contact for enquiries.

Matt Abercrombie adds, “Advanced’s product suite will enable us to build an IT system tailored to our own requirements and give us quick access to critical business data. With a better view of financial and operational information, we will be able to streamline processes to ensure resources are focused on providing the best frontline services possible.”
