About Clúid Housing

Clúid Housing is one of Ireland’s largest approved housing bodies, managing over 9,000 homes nationwide alongside a significant development programme. Operating at this scale requires strong governance, clear oversight, and efficient coordination across multiple functions.

Kate Innes, Finance and Treasury Director, is responsible for financial control and governance at Clúid, working closely with Maria Paterson, Corporate Services Coordinator, who supports governance processes across the organisation. As Clúid has grown, so too has the complexity of its reporting, compliance and internal processes. To support this, Clúid has modernised its approach by introducing Meetings and Board Management (formerly Decision Time), alongside risk and goals modules, enabling a more structured and transparent way of working.

The Problem

Fragmented systems and spreadsheet-based processes made it difficult to maintain consistency, manage risk effectively and provide clear, auditable evidence of governance and compliance.

The Solution

A centralised platform combining Meetings and Board Management (formerly Decision Time) with integrated risk and goals modules.

The Result

Clúid now works from a single, reliable view of governance and performance, reducing manual effort, improving transparency and strengthening decision-making.

The challenge

As Clúid expanded, its governance requirements became more complex. The organisation was managing a growing volume of board papers, approvals and compliance obligations, particularly in response to evolving statutory regulations in Ireland.

At the same time, internal processes had become fragmented. Risk registers were maintained across multiple spreadsheets in different departments, each evolving separately over time.

As Maria explains:

“They were supposed to use one template, but over time they grew legs – extra columns were added, information wasn’t always updated, and it became unwieldy and inconsistent.”

Work planning presented similar challenges, with departmental and corporate plans managed in separate files and stored in different locations. Maintaining version control and gaining a clear, organisation-wide view required significant manual effort.

As Kate explains:

“A key challenge for the sector is how you manage and evidence compliance. We needed to strengthen our assurance framework and demonstrate strong governance.”

What made the difference

Clúid implemented Meetings and Board Management to streamline board and committee processes, before extending its use to include risk and goals modules.

A number of practical changes reshaped day-to-day work:

  • board and committee papers are managed centrally
  • risk registers are maintained in a structured system with full audit trails
  • automated reminders prompt regular reviews
  • departmental and corporate work plans are managed in one place
  • progress tracking and milestones improve visibility

For Maria, auditability and control were key:

“Every change is tracked, which gives real confidence in the integrity of the data.”
She also highlights the structured nature of the system, where updates are guided and accountable, and reminders ensure risks are actively reviewed rather than becoming static records.

What changed

The difference is most visible in how Clúid now operates day to day.

The organisation has a clearer and more consistent view of governance, risk and performance across all departments. Risks are easier to monitor and review, while progress can be tracked in real time.

The platform also supports closer collaboration. With shared visibility of priorities and dependencies, teams are more aligned and aware of each other’s work.

As Maria notes, this has helped teams better understand what’s coming “down the tracks” and where collaboration is needed.

Reducing duplication has also had a noticeable impact. Staff spend less time managing spreadsheets and reconciling data, and more time focusing on delivery and strategic priorities.

As Kate puts it:

“It allows us to run more effective meetings, but it also creates a more strategic viewpoint for everyone across the organisation.”

Customer Perspective

Kate Innes has seen how Meetings and Board Management, alongside risk and goals modules, has strengthened governance and improved how Clúid operates.

On governance and compliance:

“It’s significantly improved how we evidence and manage our governance obligations.”

On organisational alignment:

“There’s definitely a sense that we’re all on the same page now.”

Maria reinforces this cultural impact:

“Working in one system has helped break down silos – it really feels like one team.”

On usability:

“The system is very straightforward. It works seamlessly within meetings and day-to-day processes.”

Why Meetings and Board Management stands out

Before implementing the solution, Clúid relied heavily on spreadsheets and manual processes that were difficult to scale and lacked the structure and auditability required for a growing organisation.

Meetings and Board Management, combined with risk and goals modules, provided a more integrated and structured solution - centralising governance processes, improving visibility and standardising how information is managed.

Ease of use and flexibility supported adoption across teams, while ongoing support has enabled the system to evolve alongside Clúid’s needs. As Maria highlights, this has helped create a genuine long-term partnership.

Moving forward

Clúid continues to build on its use of Meetings and Board Management, evolving how it manages governance, risk and organisational performance.

With a strong foundation in place, the organisation is well positioned to respond to regulatory requirements, support continued growth and maintain high standards of accountability.

This ongoing collaboration reflects a long-term approach, with the platform continuing to support Clúid’s evolving governance and operational requirements.
