Digital transformation is high on the agenda across FE, HE and the wider training sector, with providers increasingly clear on the direction they want to take. But while the appetite for smarter systems and connected processes is strong, the practical realities of limited capacity, competing priorities and heavy workloads mean progress is not always easy to sustain.
The OneAdvanced Trends Report 2026 reflects this tension, showing that many leaders have a clear sense of where digital transformation should take them, while the sector as a whole continues to grapple with the practical pressures that make change difficult. The report highlights a strong desire for better-connected systems, more reliable data and smoother processes, yet it also shows how easily these ambitions are pushed aside by day-to-day demands. Practitioners describe juggling multiple tools, hunting for information that should be easier to find, and trying to keep up with administrative expectations. Meanwhile, teams responsible for quality, curriculum or learner support often feel they are working around systems rather than being supported by them. The desire for progress is very real – but it sits inside organisations already working at full stretch.
Inclusion as a practical priority
The report also shows how central inclusion has become, not as a slogan but as a practical commitment. Providers want to understand each learner’s needs from the outset and ensure that insight stays visible throughout the journey. However, many describe a reality where key details still get lost between systems or buried in documents. Staff are committed to providing strong learner support, but the right mechanisms are not always in place. The gap isn’t in care or intention – it’s in the tools and processes that hold everything together.
Quality reviews and inspections often make these gaps even more visible. Leaders may feel confident that they’re becoming more data‑driven, yet staff experience the opposite: manual processes, duplicated tasks and too much time spent reconciling information. What appears aligned and organised at senior levels can feel much more fragmented on the ground. This disconnect isn’t about reluctance to change; it’s about the day‑to‑day difficulty of operating in environments where systems don’t yet provide the clarity and consistency people need.
The human side of digital ambition
Many organisations describe themselves as being “on a journey”, though how that journey feels varies widely. Some teams feel energised, supported by thoughtful CPD and given space to explore new approaches. Others feel cautious or simply overwhelmed, unsure how new processes fit into already demanding workloads. One‑off CPD sessions rarely shift this. Staff need support that feels relevant to their role and grounded in their day‑to‑day responsibilities if they’re going to build real confidence.
All this unfolds against a backdrop of constant change: updated assessment requirements, heightened expectations around inclusion, employer‑driven pathways and rising administrative demand. Providers are expected to keep standards high, nurture progression and modernise their systems – often simultaneously and with limited resource. In these conditions, even well‑planned digital projects can struggle to gain traction.
Where progress really starts
Across discussions, one idea stands out: meaningful progress begins with improving a single workflow end to end. When providers take one process – learner onboarding, progress reviews, financial reconciliation, or any other core workflow – and tighten it fully, the impact becomes visible quickly. Work becomes lighter, information is easier to interpret and teams gain a clearer sense of how things connect. That early progress builds confidence and helps people see that wider change is possible.
This shift rests on a couple of straightforward principles. Systems need to connect well enough for information to move cleanly, and data needs to hold steady so people can make decisions without second‑guessing what they’re looking at. When those foundations are in place, organisations begin to operate with more consistency. Staff feel less weighed down by admin, learners benefit from a more joined‑up experience and leaders gain a clearer view of what is happening across their provision.
Bringing ambition within reach
Digital ambition isn’t in short supply, and technology is not the constraint. The real challenge is creating the environment in which ambition can land – one where people have the clarity, structure and confidence to make progress feel achievable. When organisations focus on building connected practices, strengthening one workflow at a time and giving teams the conditions they need to work with confidence, ambition becomes steady and sustainable rather than aspirational and out of reach.
